DUTIES AND RESPONSIBILITIES:
Job Summary:
Provides administrative, operational, and coordination support to the Head of Emergency Department, with a focus on clinical services, patient management, pricing, reporting, and liaison activities while retaining the clinical scope of a Medical Assistant. The role ensures smooth flow of day-to-day functions and supports strategic initiatives within the Emergency Department.
Key Responsibilities:
- Rakyat Wing Oversight
- Support in structuring, reviewing, and updating low-cost Rakyat Wing packages.
- Ensure eligibility documentation and pricing transparency are maintained.
- Pricing & Quotation
- Assist in preparing pricing structures and individualized quotations for patients.
- Work closely with billing and finance to update and align pricing for Rakyat Wing services.
- Administrative Reporting
- Draft, compile, and assist in preparing monthly, quarterly, and ad hoc reports.
- Manage relevant data tracking for performance metrics, revenue, and service utilization.
- Departmental Revenue & Performance Monitoring
- Track and analyze daily, weekly, and monthly Emergency Department revenue.
- Identify trends, gaps, and opportunities for improvement.
- Assist in setting KPIs and preparing performance dashboards for departmental reporting.
- Patient Coordination
- Assist in scheduling, confirming, and tracking patient appointments
- Coordinate follow-ups
- Agent & Referral Tracking
- Monitor, track, and report performance and engagement of referring agents.
- Maintain a structured database of referral sources and patient conversion rates.
- Clinical Support
- Assist Emergency Physician with patient care as needed.
- Support triage, monitor vitals, assist in minor procedures, and prepare documentation.
- Maintain readiness of emergency equipment and consumables.
- Other Duties
- Liaise with internal departments to follow up on pending actions.
- Provide administrative assistance for special projects as assigned by the Head of Department.
EMPLOYEE SPECIFICATIONS AND QUALIFICATIONS
Required Skills:
- Strong administrative and organizational abilities
- Basic financial understanding (quotations, pricing, revenue tracking)
- Good communication and interpersonal skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Able to multitask and work under pressure
- Fluency in Bahasa Malaysia and English
- Clinical competency in patient triage, basic procedures, and emergency care support
Qualifications:
- Diploma in Medical Assistant or equivalent (recognized by the Malaysian Medical Assistant Board)
- Valid APC (Annual Practicing Certificate)
- At least 2 years of working experience in Emergency Department
- Familiarity with private hospital operations is an added advantage
